Frequently Asked Questions
Common questions about My Custom Tools.
What is My Custom Tools?+
It's the area where you can create your own AI tool in minutes. You write an instruction (defining how the tool behaves), optionally add knowledge sources, and the tool responds according to those instructions and sources from that point on. You can use the tool just for yourself, develop it with your team, or publish it publicly — similar to custom GPTs or Gemini Gems.
How do I create a tool?+
Click '+ New Tool' — the tool's dedicated editing page opens. All you need to do is enter at least a name and an instruction, then save. The dropdown at the top of the page lets you switch between your tools quickly and resume editing where you left off.
How does the tool editing screen work?+
Editing is organized into logical tabs: Identity, Instructions, Knowledge Sources, RAG Moderation, Appearance, Test, Conversations, and Publishing & Sharing. On desktop you switch via the top tabs; on mobile via the dropdown; you can also navigate between tabs using the <- Back / Next -> buttons. The Save button is at the bottom of every tab.
What are 'Instructions' and how should I write them?+
Instructions are the tool's character: the directive describing what it does, in what style, and in what format it responds. For example: 'You are an experienced real estate agent. Generate a listing title, description, and key highlights from the given property details.' The more precise and concrete you write, the more consistent the results.
What are knowledge sources (RAG) and what are they for?+
They are the documents the tool references when responding — guides, rules, examples, product lists, and so on. This way the tool speaks not from general knowledge but from the specific knowledge you provide. You can create an expert tool on very specific topics fueled by your own data.
What types of knowledge sources can I add, and how many?+
You can add five types: Files (100 per tool; PDF, Word, Excel, PowerPoint, RTF, TXT, Markdown, CSV, JSON, HTML), free-form Notes, Q&A pairs (FAQs), a web page address (URL), and images/videos. Only files count toward the 100-item limit; Notes, FAQs, and web sources are virtually unlimited. The tool automatically finds the most relevant source sections for each incoming question and responds accordingly.
Can I also add images and videos?+
Yes. You can add images and short video sources along with their descriptions; the tool includes them in its knowledge base and can display the relevant image or video as a card in its response when needed.
What is the difference between File, Note, and FAQ (Q&A)?+
All three are the tool's knowledge sources and are used in its responses. A File is a document you upload (counts toward the 100-item limit). A Note is free-form text you type directly. An FAQ is a question paired with a ready-made answer. Notes and FAQs do NOT count toward the file limit — you can add as many as you like.
What does the 'Structure with AI' option do?+
When enabled, the text of your uploaded file is cleaned up and converted into structured Q&A and record entries before being stored; this helps the tool give more accurate answers from that document. This operation deducts energy according to your selected tier, so it is off by default — you turn it on consciously.
What does 'Allow the person using this tool to upload files' mean?+
When you enable this, the person running your tool can add their own document and have it analyzed. This is separate from the static knowledge sources you've added to the tool: the file here is that person's input for that session and is not permanently added to the tool.
Can I customize the appearance of my tool?+
From the 'Appearance' tab you set the welcome message, example inputs (which fill the input box when clicked), the input box placeholder, accent color, avatar (emoji or image), and font style/size. Changes appear instantly in the live preview on the right. This appearance applies to the tool's community page and the embedded version on your site.
Can I develop my tool together with my team?+
Yes. From the 'Publishing & Sharing' tab you invite people by email. There are two roles: Moderator (manages identity, instructions, and sources; reviews incoming contributions) and Knowledge Contributor (can only add knowledge sources). Ownership, pricing/access settings, and team management always remain with you.
Can I review knowledge added by others?+
Yes. Knowledge submitted as contributions waits in the 'RAG Moderation' tab; you approve or reject them individually. The tool does not use that knowledge until you approve it. The number of pending contributions appears as a badge on the tab.
What is AI pre-review?+
If you choose, incoming contributions first go through an automatic AI review: they are evaluated as suitable, partially suitable, or unsuitable. This reduces your moderation workload; you can still make the final call yourself if you wish.
Can I allow anyone to contribute?+
Yes. If you set the RAG permission to 'anyone', any signed-in user can contribute knowledge to your tool. You choose which channels are open (text, file, image, video...) and all external contributions go through moderation or AI review.
What is 'in-place contribution'?+
If your tool is open to public contributions, users can contribute directly where they use the tool — the community page, the embedded version on your site, or the chat assistant — via '+ Add Knowledge', without having to navigate to a separate page.
Who can use my tool? (access)+
You set access to 'only me', 'team', or 'everyone'. Publicly accessible tools appear in the community list and can be embedded on your site; team access is limited to people you've invited.
How do I test my tool?+
Go to the 'Test' tab, type an input, and click Run. The tool generates a response using your saved instructions and knowledge sources. You can test as many times as you like and fine-tune the instructions.
Does running the tool consume energy?+
Yes. Each run deducts energy from your balance based on the tier you select (from the most economical to Ultra) — pay as you go, no subscription. Creating, editing, and saving a tool is free; only running the tool and the optional 'Structure with AI' consume energy.
Who pays the energy for people using my tool?+
You decide: if 'Only me' is selected, all run costs are deducted from your energy. If 'User pays' is selected, the person running the tool pays from their own energy (sign-in is required in this mode). This lets you open your tool for others to run at their own expense if you wish.
Can I turn my tool into a chat assistant?+
Yes. With 'Publish as Site Assistant' you convert your tool into an embeddable chat assistant for your website. The tool's instructions become the assistant's behavior and the knowledge sources become its knowledge base. Appearance, bring-your-own API key (BYOK), and the embed code for your site are ready in the Site Assistant panel.
Can I embed my tool on another site?+
Yes. With the 'Add to Site' code for a publicly accessible tool you can place it as an iframe on third-party sites. In user-pays mode, visitors sign into xloji.com in a small pop-up without leaving the page and the generation is deducted from their own energy; there is no cost to the site owner.
Can I see chat logs (conversations)?+
If you've published your tool as a Site Assistant, conversations with visitors accumulate in the 'Conversations' tab and can be monitored from there.
How do I publish my tool publicly, and what is required?+
In the 'Publishing & Sharing' tab, check 'Publish publicly' and save. A name, description, at least one tag, and a logo are required to publish; your display name and profile handle (username) must also be set. If you're using it only for yourself, none of that is needed — a name and instructions are sufficient.
What is the security review?+
Before publishing a tool publicly, its instructions, knowledge source summary, and logo go through an automatic security review. Tools designed to produce illegal, harmful, hateful, or inappropriate content cannot be published. This protects the community and you.
How many tools can I create?+
You can currently define up to 20 custom tools in your account. If you need room for a new tool, you can delete ones you no longer use.
Are my knowledge sources and data private?+
The knowledge sources you add to your tool are used only for that tool's response generation; even if you publish it publicly, your instructions or raw files are never shown to visitors. Only the tool's generated responses are visible.
